At SMS Equipment, our Service Coordinators are responsible for managing service work orders, including creating, maintaining, and closing them with a focus on accuracy and compliance. In this role, you will handle billing and invoice rate information, prepare and organize documentation, and ensuring timely completion of tasks. Located in Acheson, AB this position is critical to ensuring smooth operations and exceptional customer service.

This role is Monday to Friday, 7:30 AM - 3:30 PM

The salary range for this position is $54,000 - $60,000.

Responsibilities include but are not limited to:

  • Service Work Orders - Organize and file all service order documentation, maintain accurate billing and invoice rate information for multiple customers, run weekly reports and adhere to and complete assigned monthly tasks prior to deadline.

  • Opening Work Order - Review work order requests ensuring accurate information, create work order and enter required data, prepare folder and required documentation and ensure monthly work orders are prepared, documented and communicated to the correct personnel prior to the beginning of the month.

  • Maintenance and Closing of Work Orders - Collect and file information as per JSOX compliance, update and maintain WIP (work in progress) reports, review invoices for accuracy and complete the labour and expense reconciliation. Review work order for completeness, prepare the costing of monthly work order documentation. Invoice customers and scan and complete work order as per compliance.

Qualifications:

The successful candidate will have an Office Administration Certificate with a minimum 2 years of administrative experience. Additional requirements include:

  • Excellent customer service skills.
  • Strong attention to details and ability to prioritize daily tasks.
  • Excellent computer skills.
  • Knowledge of ISO Quality Management Systems is a definite asset.
  • Knowledge of eXtend ERP System is a definite asset.
  • Knowledge of SAP would be an asset.
