Your role on our team: The Construction Administrator is responsible for assisting the Project Team and providing administrative support for the site office. They will be able to gain exposure to a wide variety of tasks that are performed by the management team, including drawing reviews, budgeting, material orders, site directives, etc.

In this role, you will:

  • Answers phones and responds to requests from the trades, supervisors, and head office;
  • Tracks, controls, and organizes documents in various systems;
  • Coordinates Inspection packages for City Inspectors (i.e. excavation, framing, and grading);
  • Participates in Production meetings with Minto staff, records and distributes minutes;
  • Orders and keeps track of office supplies for the site office;
  • Reviews lot sightings for accuracy and ensures it complies with sales, décor, grading, construction, etc.;
  • Maintains and updates all hard copy and electronic files related to specific site lots including design upgrades, site plans, etc.;
  • Installs and maintains all lot signage and advertising;
  • Ensures all Minto staff and trades partners abide by Minto's Health & Safety Policies;
  • Provides notification and reminder, tracks and maintains department timesheets and ensures all are completed by cutoff date;
  • Prepares payroll and reports vacation, absenteeism reports and sick activities for the department;
  • Provide employees with uniforms and safety shoe vouchers;
  • Responds to internal requests i.e. IT requests, ordering office supplies;
  • Coordinate the processing of expense claims for Site Super and Construction Manager
  • Issues tender bulletins and addendums as directed by Construction;
  • Organizes electronic and hard copy files including Trade Portal;
  • Electronic and hard copy storage of executed contracts and ensuring the executed contracts are returned to trade/consultant for their files;
  • Online drawing management and project ftp sites: main administrator for all FTP sites for Toronto
  • Construction file archiving for site office and head office, maintaining searchable spreadsheet of archived materials;
  • Assist in investigating past issues; gather information and create documentation packages related to assorted legal actions and investigations;
  • Create PR and new vendor forms in SAP and follow up on delinquent invoices for various vendors;
  • Other duties within the scope, spirit, and purpose of the job, as requested by management

We would like you to have:

  • A Post-Secondary Education is required at the University or College level (A diploma in Construction and/or Architecture is an asset).
  • A minimum of three (3) years of relevant work experience.
  • Microsoft Office (Word, Excel, PowerPoint, Outlook, Project).
  • Experience in AutoCAD and Revit is an asset
