Your role on our team:

The Project Coordinator is responsible for supporting the team on residential development projects including budget, schedule, cost and construction. The Project Coordinator is responsible for organizing and controlling project site documentation and providing assistance to the construction team with the daily operations such as managing reports and schedules.

In this role, you will:

  • Attend site meetings with owner, sub-contractors and consultants as required by the Project Manager. Prepare agenda and distribute minutes of these meetings.
  • Assist in the administration of established client contract processes for Revisions, Requests, Instructions, Change Orders and Non-Conformance Reports.
  • Assist Project Manager and Construction department in the administration and preparation of bid documents.
  • Engage subcontractors for competitive pricing during quote or bid preparation, under the direction of the PM.
  • Assist Site Superintendents in tracking and scheduling material delivery dates.
  • Assist in preparation and processing of progress claims and coordination of these with Project Manager and accounting.
  • Assist Project Manager to ensure proper site procedures are maintained. Organize site meetings, schedules and assist site document control requirements and formats.
  • Ensure owners' and consultants' instructions are distributed, met, and being carried out, in coordination with the Site Superintendent and sub-contractors Etc.
  • Update electronic project document list, including office plans and specifications with all revisions and information.
  • Follow up as requested by the Project Manager on own forces and sub-trade performance, problems on the project, and contractual disputes and issues.
  • Ensure proper maintenance of all project files, records, drawings, and specifications.
  • Process time sheets, daily work orders, and time and material sheets as required.
  • Organize QA/QC procedures and inspections and assist the Project Manager in preparation and distribution of deficient work, as needed.
  • Follow up with the site staff to confirm deficiency corrections and inspections are complete, and document as required.
  • Oversee project closeout, special attention to preparing & confirming documents, maintenance/warranty manuals, deficiencies and warranty work & any owner training, as needed.
  • Under the direction of the Project Manager, prepare short form contracts for review and approval, (Purchase Orders) Administer to trades as directed, etc.
  • Manages the Request for Information (RFI) process with site superintendent, sub-trades, and consultants. Logs, tracks, and follows up on all RFI's to ensure a timely conclusion.
  • Facilitates the shop drawing process. Maintains and updates the shop drawing log, reviews all shop drawings and submittals in a timely manner to maintain schedule.
  • Maintain Contract Documents / Tracking Log.
  • Maintain Contract Document List.
  • Maintain Construction Management Software and required updates on Procore
  • Assist the Project Manager in the review of Trade Contractor quotations to ensure that only fair and reasonable pricing is recommended for approval.
  • Track & manage site instructions, contemplated changes and change orders in the project database.
  • Track and manage the project closeout program, ensuring all closeout documents are obtained, accurate.
  • Keep the Project Manager (PM) and Site Superintendent informed about document status including issues that may impact trade procurements, project schedule or client interests, etc.

We would like you to have:

  • Post-Secondary Education either University Degree (ex. engineering degree) or College Diploma (Architecture or Construction Management Program)
  • A minimum of 2-4 years of relevant work experience in multi-family construction coordination role
  • Procore and New Star experience is asset
  • Proficient in MS Office Suite of products including MS Project
  • Familiarity & demonstrated ability to follow construction methods
  • Effective communication skills including verbal, written and presentation skills
  • Proven ability to work effectively both independently and in a team-based environment
  • Demonstrated willingness to be flexible and adaptable to changing priorities
  • Strong multi-tasking and organizational skills
