The Opportunity

TC Energy is seeking a driven and highly capable Executive Administrative Associate to provide comprehensive administrative support to our Pipeline Integrity leadership team. Reporting directly to the Vice President, you will play a vital role in contributing to the team's success.

Your responsibilities will include managing the schedules, calendars, and day-to-day needs of the VP and four (4) Directors. With your exceptional organizational skills and proactive approach, you will ensure the smooth operation of the department, allowing the leadership team to focus on critical pipeline integrity initiatives.

Collaborating closely with other administrative staff, you will build strong relationships and work cross-functionally to support the overall department. Your helpful and positive attitude will be highly valued in this fast-paced environment, as you contribute to the safe and reliable operation of our natural gas infrastructure.

What you'll do

  • Handle sensitive and confidential information in a timely, trustworthy and professional manner
  • Work independently to develop, prepare, proofread, analyze and update PowerPoint presentations, Excel spreadsheets, reports, communication materials, correspondence and other materials; management of travel
  • Proactively anticipate needs and prepare solutions before issues arise
  • Manage the leadership team members' calendars with internal and external parties - this includes coordinating meeting logistics booking rooms, AV support, catering, etc. as well as drafting meeting agendas and coordination of presentations where required
  • Coordinate voice and email, including monitoring, prioritizing and drafting responses reflecting a formal tone
  • Work closely with Analysts, and at times, organizes key data, files, digital materials on Company drives or collaboration tools (i.e. includes setting up shared drives, SharePoint sites, Box drives or other collaborative technology tools); may also include mapping and identification of data/ process flow inefficiencies to improve workflows where required; administer all departmental filing and record maintenance requirements where not digital
  • Plan and organize events as required for the department
  • Account for and manage records such as subscriptions, expenses and timesheets
  • Manage all Workforce, SAP, network access and other system changes, as well as the logistics for employees, new hires and contractors

Minimum Qualifications

  • High school diploma
  • 10 years of related experience in a financial, business or operations associate or analyst (or equivalent) role
  • Exceptional computer skills, ideally expert knowledge of: MS Outlook, Word, Excel, PowerPoint, and Visio; in addition, ability to prepare materials utilizing suite of Microsoft tools with minimal supervision and under tight deadlines
  • Experience supporting senior executives in a fast paced, dynamic environment
  • High degree of professionalism, solid communication skills, and the ability to maintain confidentiality
  • Understand business priorities and proactively anticipate needs
  • Sound judgment and the ability to work independently with little direction

Preferred Qualifications

  • Bachelor's degree from in business related field (Finance, Accounting, Economics, Business, Engineering)
  • Strong interpersonal skills with a professional demeanor and client focus
  • Proven organizational, planning and prioritization skills; ability to work in a fast-paced environment and manage tight deadlines
  • Excellent communication skills, both written and verbal with the capability to manage information and correspondence on multiple levels
  • Strong attention to detail and accuracy, resourceful, able to solve problems and find solutions to meet department needs
  • Exercises mature judgement and works co-operatively and effectively with both internal and external stakeholders
