Reporting to the Team Lead, Facilities, the Facilities Administrator is responsible for ensuring the efficient management and operation of AESO facilities. This role involves working closely with various departments to support facility operations, applying company policies and practices, and making decisions within their scope of responsibility. The Facilities Administrator is also tasked with planning, scheduling, and organizing work assignments, demonstrating initiative and independent judgment in adapting and applying procedures to maintain smooth operations. Additionally, they offer recommendations for improvements as required to ensure ongoing operational effectiveness.

Accountabilities include but are not limited to:

  • Run monthly time allocation reports. Follow up with staff to ensure entries are complete.

  • Receive and record vendor invoices. Enter enterprise management system for approval and processing.

  • Prepare workspaces for new staff and relocations.

  • Maintain appropriate file systems and file documents electronically and manually.

  • Administer access control functions, including setting up access cards, adding and revoking accesses, taking and printing ID card pictures.

  • Carry out routine checks on first aid kits, restock as necessary. Check AEDs monthly.

  • Receive and distribute mail. Validate and send mail via Canada Post.

  • Schedule courier shipments to and from AESO facilities.

  • Liaise with building operations for repairs and service calls.

  • Act as point of contact for any facility related concerns or repairs.

  • Contact and coordinate service providers to respond to facilities related concerns.

  • Order business cards and distribute to employees.

  • Answer telephone calls. Direct as appropriate.

  • Track AESO assets using asset management software.

  • Solicit and coordinate floor wardens for overall employee safety and wellbeing.

  • Assist in move planning for employees and contract staff. Schedule moving resources and supplies.

  • Update seating and floor plans. Update master location listing in enterprise management system.

  • Inventory and stock check stationary rooms. Order and restock as necessary.

  • Carry out reception function as necessary.

  • Schedule, sign in and sign out visitors in AESO visitor management system.

  • Monitor stock level for AESO provided refreshments and supplies. Reorder and restock as necessary.

  • Assist departmental contacts in catering coordination and set up.

What you'll bring to us:

  • Grade 12 education with a post-secondary education in a related field.

  • 5 years' experience in positions of increasing responsibility.

  • Have worked within a dynamic team-based environment.

  • Document and information management skills.

  • Quality control of documents and reports.

  • Comfortable with standard desktop environment particularly with Excel, Word, Outlook, and PowerPoint.

  • Flexibility to work on multiple job assignments.
