Key position functions:

  • Manages all health, safety and environment (HSE) Registries databases (ISN, Comply Works etc.) for Canadian and USA operations.
  • Maintains HSE records and statistics.
  • Maintains and controls the distribution of all HSE manuals and related documents.
  • Schedules, prepares and assists with the General Safety Orientation.
  • Maintains the OneFlo HSE page.
  • Processes all account payables for the HSE Department.
  • Attends all HSE meetings and takes notes as well as distributing all meeting minutes as required.
  • Maintains all HSE training records and notifies Managers/workers of training requirements and or deficiencies.
  • Maintains HSE Learning Management System.
  • Schedules all third-party training.
  • Oversees the Heads Up for Hazards monthly newsletter.
  • Completes HSE questionnaires for bid packages or other client requests for information.
  • Maintains the Incident Reporting and Management system and ensures all serious/major incident actions are closed out and communicated as required.
  • Assists in the role of Emergency Coordinator for all drills and emergencies.
  • Orders and maintains supplies for the HSE department (H&S Pocketbook, office supplies etc.) and Health Center (first aid/medical/office supplies).
  • Assists with internal and external audits.
  • Assists Occupational Health Nurse with coordinating various medical testing/wellness programs (audio tests/flu shots/BP clinics etc.).
  • Performs other related HSE duties as assigned.

Preferred candidates will possess a combination of the following:

  • Related post-secondary certificate and/or diploma in office administration an asset.
  • Two to three years office administration experience with a minimum of one year in an HSE environment.
  • Advanced proficiency in Microsoft Office (Word, Excel, Outlook) and SharePoint.
  • Working understanding of client vender systems such as ISNetworld, PIC's or Comply Works is an asset.
  • Working understanding of Incident Management databases an asset.
  • Must have excellent communication (oral and written), time management and organizational skills.
  • Detail and results oriented with the ability to multi-task and adhere to deadlines in a high paced environment.
  • Demonstrate initiative and the ability to work with minimal supervision.
  • Demonstrate the ability to work within a team environment.
  • Ability to appropriately handle highly confidential information and situations.
