We are currently recruiting a Project Coordinator for our Head Office located in Edmonton, AB.
The Role:
As a Commercial Project Coordinator, you will be responsible for supporting and coordinating commercial projects within the organization. You will work closely with various teams and stakeholders to ensure the successful planning, execution, and completion of commercial projects while meeting business objectives and client requirements. Your primary focus will be on facilitating project communication, tracking project progress, and ensuring that project activities are completed on time and within budget.
Key Responsibilities:
1. Project Planning and Coordination: - Assist in the development of project plans, timelines, and budgets for commercial projects. - Coordinate project activities and ensure that project plans are effectively communicated to all stakeholders. - Collaborate with cross-functional teams to ensure alignment with project goals and objectives.
2. Communication and Documentation: - Serve as a primary point of contact for project-related communications and documentation. - Facilitate regular project meetings, prepare meeting agendas, and document meeting minutes. - Communicate project status updates to internal teams and external stakeholders as necessary.
3. Resource Management: - Assist in resource allocation and coordination to support project activities. - Identify and escalate resource constraints and potential risks that may impact project timelines.
4. Risk Management: - Identify potential project risks and issues, and work with the project team to develop mitigation plans. - Monitor project risks and issues and ensure appropriate steps are taken to address them.
5. Reporting and Analysis: - Prepare regular project status reports and performance metrics for project stakeholders. - Analyze project data and provide insights to support decision-making and continuous improvement.
6. Quality Assurance: - Support the implementation and maintenance of quality assurance processes for commercial projects. - Ensure that project deliverables meet quality standards and client expectations.
7. Compliance and Documentation: - Ensure that all project activities comply with relevant regulations and organizational policies. - Maintain project documentation and records in accordance with company standards.
8. Stakeholder Engagement: - Build and maintain strong relationships with internal and external stakeholders, including clients, vendors, and partners. - Act as a liaison between stakeholders and project teams to ensure alignment on project objectives and expectations.
9. Change Management: - Support change management activities related to project scope, schedule, and resources. - Communicate and manage changes to project plans and ensure that all relevant parties are informed and aligned.
10. Continuous Improvement: - Identify opportunities for process improvement and efficiency gains in project coordination and execution. - Contribute to the development and implementation of best practices for commercial project management within the organization.
Qualifications and Skills (Expanded):
- Proven ability to work effectively in a fast-paced, dynamic environment, managing competing priorities and deadlines. - Experience in commercial project management, including familiarity with contract management, procurement processes, and commercial terms and conditions. - Knowledge of financial principles and budget management, including tracking project expenses and monitoring financial performance. - Familiarity with risk management techniques and the ability to proactively identify and address potential project risks. - Certification in project management, such as PMP (Project Management Professional) or CAPM (Certified Associate in Project Management), is a plus. - Experience using project management software, such as Microsoft Project and Procore, and reporting on project activities.
Qualifications and Skills:
- Bachelor's degree in business administration, project management, or a related field. - Proven experience in project coordination or management, preferably in a commercial or business setting. - Strong organizational and time management skills, with the ability to prioritize and manage multiple tasks simultaneously. - Excellent communication and interpersonal skills, with the ability to effectively collaborate with diverse teams and stakeholders. - Proficiency in project management tools and software applications. - Knowledge of commercial project management methodologies and best practices. - Attention to detail and a focus on delivering high-quality results.
