Maintenance Materials Coordinator

The Maintenance Materials Coordinator will assist the Maintenance and Operations Teams in their day to day organization of material delivery and inventory. This role is responsible for ensuring teams have the materials required available at all times for maintenance, repair, service, and installations. This role offers key support for Vitrum to be able to provide on-time quality glass products to our clients.

Duties and Responsibilities:

• Create purchase orders (POs) within the software, based on purchase requisitions, in alignment with standard procedures
• Update the Computerized Maintenance Management System (CMMS) software
• Communicate directly with service providers, vendors, and maintenance contractors to schedule delivery, repairs, servicing, preventive maintenance, and other projects
• Provide a timely response to all requests and inquiries
• Track goods received; verify appropriate delivery and ensure invoice processing
• Oversee supplier performance (on time delivery, quality, lead time) and resolve performance issues
• Maintain an efficient and fiscally justified level of maintenance supply inventory to assure continuous operation in maintenance
• Maintain constant communication with maintenance staff to assess their supply requirements
• Develop, investigate, and evaluate current and future sources and costs of supplies
• Request quotes for items not covered by any existing purchase agreement, including obsolete parts
• Contact potential suppliers and negotiate most favorable proposals
• Continuously work towards streamlining the PO process
• Receive transactions and complete verification, kitting, and put-away
• Process and distribute invoices and shipment paperwork for payment and records
• Ship components for repair, warranty service, or other purpose
• Set up and maintain inventory records in the CMMS
• Ensure the on-hand inventory matches records of inventory by performing inventory counts and ensuring processes for tracking are well used
• Maintain inventories and replenish all maintenance department supplies as needed
• Support the needs of manufacturing operations to improve quality by use of metrics, lean methods, and engagement with technical teams
• Monitor and control all recyclables: batteries, bulbs, cutting torch tanks, electronics and all other controlled materials used in the maintenance department
• Assist with planning/scheduling effort for major plant turn-around, projects, and equipment overhauls
• Other duties as assigned

Required Qualifications:

• More than one year of experience using AutoCAD
• Intermediate experience in MS Office, including Excel
• Problem-solving and analytical skills
• Strong communication and interpersonal skills
• Ability to work effectively in a team-oriented environment
• Self-motivated with strong attention to detail
