We currently have an opening for a Building Services Administrator to provide support to members of the Vancouver Services team based out of our Port Coquitlam office. We are looking for an energetic, motivated, multi-tasker who shares our core values and passion.

As a key member of the Modern Niagara Team, you will provide efficient, responsive, and professional office management, document control and administrative support while facilitating exceptional communication and standards among key partners such as clients, employees, and the various programs and services. Duties and Responsibilities:

  • Contract Administration
  • Service Contract Entry
  • Equipment Entry
  • Equipment tasking assignment
  • Identification, review and resolution of contract execution issues with account managers
  • Dispatch Support when needed
  • Support Account Managers and Service Coordinators with the updating and execution of service contracts
  • Admin support for trade divisions (Technician onboarding paperwork, uniform ordering)
  • Accounting support when needed
  • Organizing and creation of office procedures
  • Organizing, coordination and support of service department functions and events
  • Development and support of air filter ordering procedures
  • Establish and maintain Customer and Vendor lists
  • Office Administration - office supplies, coordination of office services (eg. janitorial services and coffee services)
  • Support the department through means of coordination of materials, information and communication
  • Communication with head of department, and support on an ongoing basis
  • Working with managers to prepare sales proposals and manage company sales information
  • Act as a point of contact for the group, a liaison for the department, communicating and acting in a supporting capacity in a variety of administrative ways
  • Ensure efficient and timely workflow of information into and out of the department; with an emphasis on meeting scheduled deadlines and/or target dates.
  • Work collaboratively with team members to improve processes and streamline work in collaboration with the broader Building Services Team
  • Circulating office memos and information postings
  • Supporting staff with travel arrangements, expense reports, complex meeting arrangements and assist with clerical duties including filing, data entry, record review and maintenance, etc.
  • Additional duties as required

Qualifications and Job Requirements:

  • Post secondary education in a related field such as office management, administration is a strong asset
  • Progressive, relevant administrative support experience
  • Experience in the construction or related industry an asset
  • Excellent computer skills, particularly with MS office
  • Strong written and verbal English communication skills
  • Ability to work well under pressure with a positive attitude
  • Ability to work effectively in a fast-paced, customer and team-oriented environment
  • Excellent decision making and prioritizing skills
  • Strong organizational skills with a high level of attention to detail
  • Team player, energetic, proactive, resourceful
  • Proven ability to use discretion with confidential material
  • The ability to use appropriate judgement, take initiative, to work independently and to organize and complete work with minimal supervision
