Purpose of this position

The Maintenance Coordinator will be responsible for providing administrative support to the Maintenance and Engineering team. Overseeing the maintenance KPI management system, integrating leading indicators into daily operations, forecasting, planning, and scheduling maintenance work orders, and collaborating with finance for budgetary alignment.

Key responsibilities

  • Planning and scheduling maintenance activities for port equipment and infrastructure, with a focus on minimising downtime.
  • Maintenance of KPI Management: Oversee leading indicators, integrating them into daily operations, forecasting, planning, and scheduling maintenance work order information.
  • Enhanced Coordination: Streamline maintenance analysis and Foreman activity reports for improved feedback management from PM, EM, CM work orders, and toolbox talks. Coordinate the daily dispatch of work crews, including verification of availability and relevant data entry and tracking.
  • Budget/Finance reporting: Manage vendor accounts, fuel delivery, and procedures. Collaborate with finance for budgetary alignment.
  • Administrative Support: Assist the Maintenance and Engineering department with day-to-day work requirements in all managed areas, including the documentation and records related to work orders, work plans, warranty work, service requests and safe working procedures. \Document Control: Manage records, data, and documentation linked to work orders, plans, warranties, and safety protocols.
  • Data Monitoring and Training: Monitor data enhancement programs, update asset data, complete work orders, and support GHSE initiatives and shared services requirements, acting as the coordinator and liaison for training, orientation and communication with Operations and HSSE. Support administration of SSE initiatives including incident tracking, facilitating safety orientations for department visitors and contractors, action administration and collecting and reporting damages.

Qualifications, Job Function, Technical Knowledge and Skills

  • Post-secondary education will be considered an asset.
  • Minimum 1 year experience working in an office environment or administrator role.
  • Strong organizational and planning abilities.
  • Excellent communication and interpersonal skills , including the ability to build and maintain positive working relationships with all departments and levels.
  • Knowledge of port operations, infrastructure, and equipment.
  • Exceptional computer skills and ability to quickly learn new software. Familiarity with computerized maintenance management systems (CMMS).
  • Ability to manage budgets and resources effectively.
  • Knowledge of health, safety, and environmental regulations.
  • Problem-solving and decision-making skills, especially under pressure.
  • Ability to work proactively to complete tasks and responsibilities independently.
  • Exercise discretion, tact and judgement when handling confidential and sensitive information.
  • Extremely detailed and quality oriented.
  • Excellent organizational and planning skills, so that workflow is managed efficiently and accurately.
  • Fluent in English.
  • Previous Canadian work experience or experience working directly with Canadian industries.
