This position is located at our sales and service dealership in Winnipeg.

THE OPPORTUNITY

The Service Coordinator will be responsible for completing the administrative tasks required for the effective and efficient operations of the service department. This position performs such duties as managing customer calls and maintaining department records. This position will also be a training ground for future Service Advisor position vacancies.

YOUR RESPONSIBILITIES

  • Receives customer calls for field service work and schedules the field service techs accordingly in conjunction with the direction of the Service Manager.
  • Refers to SIR on customer units to ensure warranty checks are done, and any outstanding OEM sponsored modifications or recalls are completed in a timely manner.
  • Performs time clock edit and posts sublets to repair orders on a daily basis. Performs warranty checks and determines appropriate application of any warranty service allowance to apply on each job.
  • Keeps service department forms, menus, and pricing guides up to date.
  • Provides additional information and explains completed work and all charges to customers as required.
  • Maintains high customer satisfaction standards.
  • Responsible for maintaining records and scheduling any required maintenance for service trucks.
  • Maintains department stats and financial statement analysis (ie. monthly sales report) as may be required by the Service Manager.
  • Responsible for maintaining the customer data base on the mainframe or designated computer system (adds / changes / deletes).
  • Prepares and issues end-of-warranty letters to customers prior to the expiration of any base or extended warranties.
  • Makes customer follow-up calls within 3 days of completing RO's.
  • Makes customer calls for reminders of preventative maintenance, MVI's or seasonal specials
  • Maintains correct coding and inputs for repair order processing. Completes a final check of repair orders for parts and sublet inclusion prior to submission to the Service Advisors or Service Manager for approval and final closing.
  • Issues purchase orders for sublets and shop supplies as required
  • Maintains shop tech entitlement records and takes appropriate actions (ie. vacation time, sick time, boot allowance, tool allowance and technician tool inventory reporting, etc.)
  • Handles telephone inquiries regarding appointments and work in process.
  • Responsible for checking in and checking out rental vehicles when the Rental Manager is out of the office (where applicable).
  • Becomes familiar with and complies with the company's Health & Safety Manual. Reports any unsafe practices to a manager.
  • Other duties may be assigned

WHAT WE LOOK FOR

  • Ability to proactively problem-solve and think logically
  • Good verbal and strong written communication skills
  • 3+ years related experience and/or training; or equivalent combination of education and experience
  • Post-secondary diploma or trade certification helpful but not required
  • Strong ability to listen to other's and be able to interpret issues and pass on to others
  • Good mechanical aptitude and great organizational skills
  • Strong computer skills, able to learn new computer programs and accurate keyboarding of data
  • Functions well with large volume and fast-paced work environment.
  • Accountability and dependability with strong time management
  • Must be able to lift a minimum of 25 kgs or 50 lbs on occasion.
  • Must be able to walk around shop floor/parts department and sit/stand at service counter
