Ensures the Public Safety Communication Centre is supported by a variety of administrative tasks.
Perform general office duties as required including payroll entry, data entry, document maintenance, and various administrative tasks such as filing and typing.
• Contacting property owners for information required for civic addressing
• Tracking and mailing letters regarding the Saint John Police False Alarm Policy
• Payroll responsibilities including tracking PSCC operators' hours, payroll entry and data entry into the scheduling system
• Maintaining and recording visitor parking passes
• Completing data entry for various reports
• Preparing binders and other logistical arrangements for training programs
• Maintaining current information in binders crucial to PSCC operation
• Generating various reports for the department including quality assurance reports and statistics
• Maintaining the records management system, including online and paper documents
• Opening, sorting, and distributing mail
• Organizing meetings, training sessions and other activities, including making travel arrangements as well as taking and transcribing minutes of meetings, as required
• Monitoring, ordering and distributing office supplies
• Maintaining asset listing for all PSCC assets and equipment
• Entering PSCC operator vacation picks in scheduling system
• Entering and tracking building maintenance issues for PSCC area
• Maintain listing of current PSCC applications
• Maintain warranty information for operator headsets, ordering replacement headsets as required
• Mailing letters or other correspondence as required
• Variety of administrative tasks such as typing, photocopying, and filing
• Assist with events or other planned activities for PSCC operators
Proficient in the use of computers, Microsoft Office applications, Naviline applications, audio recording equipment and other general office equipment.
Must be security cleared
EDUCATION, TRAINING & EXPERIENCE
Diploma in Office Administration from the New Brunswick Community College, Business Certificate 1 from the University of New Brunswick, or an equivalent program is required.
