About the Company & the Job Summary:

Lankelma is a world leading provider of Cone Penetration Testing (CPT) for soil profiling and deriving geotechnical properties. We own a fleet of vehicles including specialist plant, machinery, and HGV's that our team of expert mechanics manage and service at our Workshop, located near Rye, East Sussex, where we are seeking an enthusiastic and organised Workshop Administrator to join our friendly and dynamic team!

The successful candidate will work on a part-time basis, to coordinate the fleet maintenance schedules and support our Workshop Team to ensure our fleet runs smoothly.

There is an element of flexibility with the working hours and we are happy to discuss the hours that suit you between Monday to Friday! Ideally, from 24 to 30 hours per week, 3 to 5 days a week.

Key Responsibilities:

  • Provide administrative support to the Workshop and Mechanical team, including preparing documents, maintaining records, and managing service booking, updating vehicle maintenance schedules.
  • Ensure that all fleet information, service records, and compliance documentation are accurately entered into the company's system. Maintain an organised and up-to-date vehicle check and fleet compliance filing system, both digital and physical.
  • Maintain the Workshop purchase log, file invoices, and liaise with the Accounts Department to ensure smooth payment processes.
  • Act as the workshop's front of house, answering calls and receiving deliveries.
  • Maintain regular communication with the Projects Team regarding service & maintenance requirements to help them with logistical planning and assignment of the vehicles to projects.
  • Ensure that all vehicles comply with industry standards and regulations. Support the team in maintaining compliance documentation, including tax and MOT certification, purchase orders, delivery notes, and service records.
  • Assist in managing parts inventory, liaise with suppliers to place orders, track deliveries, and ensure timely availability of parts for vehicle maintenance and stock control once delivered.
  • Assist with COSHH management; storage of and record keeping.
  • Support the Workshop team, manage day-to-day administrative tasks, and take initiative in improving processes to support smoother operations.

  • Excellent organisational skills, meticulous record keeping
  • Flexible and able to adapt in a busy working environment
  • Proficient IT skills, competent Microsoft Office user
  • Approachable with the ability to build good working relationships
  • A proactive style of work, identifies and acts upon activities that need to be completed.
