As an Interior Project Coordinator for our Furniture, Equipment and Design ("ED FED") team, you will:

  • Assist Project Manager with project coordination and administrative tasks, including scheduling, budgeting, procurement, and coordination with vendors and contractors.
  • Lead order entry activities on third party vendor platform.
  • Assist with the coordination of vendors, contractors, and other tradespeople, including obtaining quotes delivery dates, and shipping information.
  • Negotiate trade discounts, payment terms and ensure product availability.
  • Verify all order confirmations and invoices to ensure data accuracy and alignment with Purchase Orders.
  • Collaborate with other members of the project team, including consultants, contractors, and vendors, to achieve project goals and objectives, including coordinating deliveries and installations.
  • Distribute and coordinate project deliverables and schedules for all project stages.
  • Coordinate the project document control and exchange process, liaising with internal and external team members.
  • Track and resolve project deficiencies, collaborating with vendors to rectify order issues.
  • Attend site visits to discuss project parameters, installation logistics, and issue resolution for internal and client projects.
  • Coordinate and maintain a schedule for milestone documentation, Shop Drawings, RFIs, Certificates of Payments etc.
  • Prepare and update project management timelines for both internal development initiatives and client-facing projects.
  • Maintain and strengthen relationships with installers and construction partners, ensuring timelines are met for internal builds and client projects.
  • Attend project meetings; take and distribute minutes and follow up on important action items.


Is this role right for you?

  • You have a bachelor's degree or diploma in Interior Design, Industrial design, Architecture or equivalent
  • You have extensive knowledge of furniture, equipment and finishes
  • You have 1+ years of Interior Design experience and an understanding of healthcare related design concepts.
  • You are Proficient in Microsoft Office Suite & Adobe Suite.
  • You have excellent understanding of construction drawings and specifications.
  • You have exceptional attention to detail and time management skills.
  • You have excellent interpersonal and communication skills - verbal, written and design articulation
  • You are willing and able to travel to project sites
