Position Summary

The Project Administrator plays a key role in supporting the project management team. The Project Administrator is responsible for gathering and providing documentation required to ensure accurate and timely recording of project costs, and for the organization of documentation and records required for each specific project.

Major Responsibilities:

  • Support project teams in organizing and maintaining project documentation;
  • Obtain, track and organize subtrade monthly project billings;
  • Draft, send and track Site Instructions and related quotations;
  • Draft (for PM approval), send and track all Change Order Proposals (COP)
  • Issue and track subcontracts and safety packages;
  • Obtain and track subcontractors and/or trades' required documentation (WSIB Certificates, Ministry of Labour Form 1000s, Insurance, Safety etc.);
  • Track, file and distribute subcontract change orders (SCCOs/POCOs);
  • Assist the project teams with project closeouts;
  • Prepare and distribute internal communications as requested;
  • Assist with file transfers upon completion of projects;
  • Create, update and maintain project contact lists;
  • Any other duties as required.

Education and Experience Requirements:

  • Post-secondary education, preferably in business administration, or in construction management would be considered an asset;
  • 1-2 years of administration experience, preferably in the construction industry required;
  • Strong attention to detail and exceptional organizational skills;
  • Strong time management and planning skills, with an emphasis on quality output;
  • Strong communication skills, both written and verbal;
  • Proficient use of the MS Office Suite;
  • Strong customer service skills and professionalism when dealing with different audiences.


Work Environment:

  • Providing service to several audiences or departments, working under many simultaneous deadlines;
  • Sitting or standing for long periods of time at a workstation;
  • Overtime may be required.
