Overview
Reporting to the Executive Vice President of Property Operations, the Regional Director of Residential Operations is responsible for the professional management, leasing and administration of all Centurion Property Associates Inc. owned and managed multi‐family residential apartment buildings across Ottawa, Ontario and Gatineau, Quebec.
The Regional Director of Residential Operations is accountable for the management of all related resources, contracts, tools and supplies to ensure Centurion Asset Management Inc. | Centurion Property Associates Inc. real property assets are effectively and efficiently managed to established standards and within established budgets.
Responsibilities
Relationship Development
Develop and foster positive relationships with internal and external stakeholders. Seek out new business opportunities for Centurion by networking with key industry contacts and participating within industry associations, committees and boards. Ensure proactive timely resolution of staff, Contractor, Vendor, and Consultant performance issues.
Customer Service
Professionally and courteously handle all Resident inquiries, feedback, complaints or concerns. Ensure a high level of Resident satisfaction is achieved through constant and consistent attention to Centurion's Vision, Mission and Values. Promote a strong sense of community.
Ongoing Operations
Ensure that properties operate according to established standards and within annual operating budgets, including those outlined in third party management agreements. Participate in the development of operating strategies to achieve short and long term operational and business development objectives. Work closely with and provide direct support/guidance to regional Property Managers; helping them to develop and motivate Site Staff. Set and monitor performance and quality targets for Property Managers and site staff. Organize and facilitate regular team meetings with Property Managers as well as with site staff to reinforce established standards and address common concerns; issuing directives resulting from the meetings in a timely manner. Work with Human Resources to develop a training plan for Site Staff. Authorize Work Orders and Purchase Orders to approved limits, being cognizant of year‐to‐date expenditure and approved annual budgets. Review and approve invoices according to standard policies and procedures. Ensure the timely collection of rent and minimal vacancy for the entire multi‐family portfolio. Continually review and evaluate the market rates for each property, ensuring revenues are optimized in the competitive environment. Complete regular site inspections of properties including vacant apartments and building common areas to identify opportunities and/or deficiencies. Ensure that all preventative maintenance is scheduled and completed. Assist with the acquisitions process, attending property tours and overseeing the successful onboarding of the property. Ensure compliance with all legislation, including but not limited to the Residential Tenancies Act, Labour Relations Act, Fire Code and Occupational Health and Safety Act. Complete other tasks as assigned.
Administration and Reporting
Ensure that all Centurion Property Associates policies and procedures are adhered to. Identify and implement innovative strategies to increase operational efficiencies, introducing new policies, processes and/or technologies as necessary. Confirm that administrative responsibilities at the property level are completed in an accurate and efficient manner, implementing checks and safeguards as required. Ensure the completion of all operating and financial reporting, including weekly availability and traffic reporting and monthly property reports and variance analysis. Work closely with the Property Managers to develop annual operating budgets and complete quarterly re‐forecasts. Assist the Director of Technical Services with the preparation of capital budgets, overseeing the development of five year capital plans for each site. Oversee the completion of reporting requirements for third party owners as outlined in the property management contracts. Develop and implement additional reports to ensure the efficient and effective operation of the multi‐family portfolio. Assist with any additional Asset Management analysis and reporting as required.
Sales and Marketing
Work with the marketing team to develop and implement a variety of innovative sales and marketing initiatives for the multi‐family portfolio. Identify a variety of lead generation tactics to increase brand recognition. Maintain a constant awareness of the competitive environment for similar products, networking with industry competitors and experts to obtain a full understanding of the competitive marketspace and Centurion's position within it.
Risk Management
Ensure ongoing compliance with current codes, technical safety standards and legislation. Oversee the Property Managers to ensure the effective and prompt resolution of municipal and provincial work orders. In cooperation with insurance entities, assist with the completion of quarterly or annual risk assessments, incorporate into capital or operations planning and implement as required to mitigate risk.
Capital Project and Building Management
Liaise with the Director of Technical Services and Innovation, the Director of Operations Asset Management and Consultants as required for major capital projects. Complete regular inspections of properties including vacant apartments, building common areas and plant operations, ensuring that established standards are met. Ensure preventative building maintenance is scheduled and in-suite renovations are completed in a timely manner and within established budgets.
Requirements
§ Minimum 7 years' property operations experience is required; Multi‐Residential experience within a national portfolio considered an asset;
§ Demonstrated track record in successfully managing operating and financial performance;
§ Proven ability to lead and motivate Employees to achieve common goals and operational objectives;
§ Detail‐oriented with the ability to independently resolve problems using facts, sound reasoning and common sense;
§ Strong follow‐up skills with the aptitude to develop creative strategic and effective solutions to difficult issues in a timely manner;
§ Exceptional interpersonal, written and oral communication skills;
§ Excellent organizational skills with a strong ability to multi‐task;
§ Strong command of MS Office products: Word, Excel, PowerPoint;
§ Experience with Yardi property management systems considered an asset; and
§ Must be comfortable completing frequent travel within Ontario and Quebec.
