The Building Services Coordinator provides a wide variety of administrative and staff support services to Building Services, Contractors and all CSA Group departments. Assists in the preparation and control of records, statistics, and reports regarding operations and building services assets. Administers programs, projects, and/or processes specific to the operating unit served. Liaise with others within CSA Group regarding company administrative issues related to purchasing, personnel, facilities, and operations. Track Facility Services requests and ensure requests are completed. Liaise and coordinate with all external contractors. The nature and sensitivity of various duties requires a high degree of confidentiality.
Please note: This is a 6 month contract opportunity.
Responsibilities:
Assists Departments with quotes for furniture
Coordinates moves and construction to minimize staff/operations disruption
Coordinates Life Safety testing to meet legislated requirements and also to minimize disruption to the staff/Operations
Coordinates and schedules external contractors for services required
Supports the organizational areas' unique administrative requirements on a day-to-day basis with an emphasis on work ticket creation and deployment of these requests to the appropriate staff.
Provides general office support to the Facility Manager by creating and generating reports based on utility use or budget tracking sheets, maintaining files and records, and maintaining the operational contract files. Opens and distributes mail, sends faxes, and courier shipments. May also prepare overhead presentations as required.
Acts as a problem identification and resolution resource, answering questions, providing guidance, troubleshooting and following up with staff in resolving problems; may coordinate (or act as liaison) between functions/departments as required to facilitate problem resolution.
Creates and maintains forms, templates, and procedure manuals requiring application of a specialized knowledge of a variety of functions. Provides guidance to staff using the forms and templates.
Plans, arranges and coordinates meetings, training sessions, presentations, conferences or other group events including booking rooms. Prepares meeting notices, agendas, minutes, and correspondence.
Provides other administrative and procedural support for the group and the appropriate Division including: completes and processes expense forms, and assists with coordinating staff attendance and vacation spreadsheets.
Provides assistance for special projects as required.
Orders all materials and equipment required by building services staff to continue services i.e.(building construction supplies, cleaning supplies, painting supplies , microwaves , refrigerators, and all other related material and building equipment).
Initiates Purchase Requisition/Purchase Orders in Workday and SAP.
Initial point of contact for Building Services work ticket system in Samanage. Prioritizes and assigns work as required.
Coordinates all building services assets in MET team as required.
Coordinates all workspace moves, new hires, exits.
Coordinates and schedules contracted services from various contractors (i.e. HVAC, Electrical, Security, Plumbing, Cleaning, and Landscaping).
Communicates facility information as direct to all CSA Rexdale.
Provides monthly Facilities expenses to Finance.
Qualifications:
Full Secondary School Diploma
3 years of experience working in Building Services
MS (Word, Access, Excel, PowerPoint, Project), SAP, Adobe Acrobat 5.0
PC usage is frequent, and an incumbent must possess considerable knowledge and experience in the application/operation of software programs that require intermediate/advanced software skills
