Reporting to the Category Manager, the incumbent performs duties directly associated with acquisition of various goods and services primarily of an inventory and/or repetitive nature.
In this role, you will be responsible for developing and maintaining lists of qualified bidders for goods/services in addition to preparing standard commercial analysis documents, purchase orders and formal and informal tender/proposal documents for standard parts/materials/services while procuring inventory related parts and non-stock parts and services.
The selected incumbent of this role, your responsibility will include maintaining close liaison with various user departments to ensure that goods/services are made available within schedule while expediting of goods to ensure on-time delivery to meet user requirements, as required.
Additionally, you will be required to purchase inventory & non-stock parts of repetitive nature while ensuring that you are adhering to the TTC’s Procurement Policy and procedures, as well as the Authorization For Expenditures and Other Commitments Policy and monitoring/enforcing compliance by user departments.
As the Procurement Analyst, you will be coordinating the tendering process including the preparation of public advertisements, determining the necessity for and coordinating the issuance of addenda, preparing tender/proposal documentation including all necessary commercial requirements including preparing and issuing a purchase order to the successful company ensuring the processing amendments to standard purchase orders.
Your role will require coordinating all communication with bidders from tender issue through to contract award and providing responses to bidders as required in addition to keeping up to date with traffic and transportation services as it relates to procurement. You will be maintaining familiarity with categories in the section in order to handle these purchases in the event of absence, obtain competitive formal and informal tenders for the supply of standard parts, evaluating the bids and preparing the commercial analysis, monitoring and managing the performance of assigned vendors including conducting regular meetings to ensure on-time delivery as well as material returns, invoicing and quality issues to meet the specified targets. You will also be negotiating pricing with single source vendors to reduce cost of goods purchased.
As an experienced Procurement Analyst, you will conduct regular meetings at the user facility regarding vendor performance and to gain direct experience and exposure to the more in-depth aspects of the TTC’s procurement activities in addition to taking a scheduled training program to develop general knowledge of the practices and procedures for all areas of the Procurement and Category Management Department and its main users
