Reporting to the Senior Director, Operations Risk & Security and Procurement, the Procurement and Sourcing Specialist will be responsible for procuring services in the construction and building maintenance space including engineering and landscaping. Working with vendors directly, this role will be responsible for contracts and helping to establish overall framework for the procurement strategies and processes.

14-Month Temporary Contract Position

RESPONSIBILITIES

Procurement and Sourcing

  • Manage the evaluation of RFx responses against a set of pre-defined criteria
  • Contribute to the development of procurement strategies and contract documents for unique procurement requirements, often in collaboration with internal groups
  • Negotiate, prepare, and manage both RFx and contract documentation by gathering data from a variety of stakeholders and resources
  • Support the delivery of strategic sourcing process (RFx)

Policy and Governance

  • Consistently monitor a variety of procurement applications and ensure compliance with the Procurement Policy
  • Delegate Authority Policy, processes, standards, and controls
  • Collaborate with various internal groups to ensure that procurement processes are conducted in a fair and transparent manner
  • Assist in the process of identifying potential risks and/or operational practices, programs and standards that require improvement or development
  • Assemble teams to provide oversight and oversee/monitor procurement process implementation to ensure high-quality results
  • Proactively follow changing legislation and regulations relevant to business units
  • Communicate relevant industry changes and advancements to relevant stakeholders

Relationship Building

  • Assist day-to-day requests by advising on the development of complex single source contracts
  • Provide recommendations related to unique pricing strategies, contract terms, and conditions
  • Work with and respond to internal teams to ensure contract compliance

Contract Administration

  • Monitor the Contract Management database plan to ensure expiry dates are addressed appropriately and strategically
  • Partner with vendors and internal groups to assist with drafting, negotiating, and finalizing contracts
  • Analyze complex organizational spend and vendor data to prepare summary reports
  • Monitor and administer key operational practices, programs, and standards to ensure high quality, cost effective, and consistent results organization-wide

QUALIFICATIONS

  • 3+ years of experience in procurement/sourcing
  • Post secondary education considered an asset.
  • Experience related to purchasing and tendering policies, procedures, and standards and control
  • Able to understand both business processes and risk implications
  • Strong communication skills, a service-oriented attitude, and strong organizational skills allow you to take findings and present them simply, concisely, and effectively
  • Proven ability to proactively build and foster effective professional relationships in order to continuously improve processes
  • Confident and able to handle highly sensitive and confidential matters with the utmost discretion and respect.
