Career Opportunity

Our Project Development and Planning department is seeking a Project Assistant to join their team!

What You Will Do

Reporting to the Senior Manager, Project Development, you are responsible for research and coordination of project activities; coordinating responses and tracking departmental progress on projects; and providing efficient communication on priority provincial projects. As Project Assistant, you are also responsible for working across various departments as they relate to provincial projects to synthesize, interpret, and compile data and email communications, and summarize relevant project details and reports.

  • You will provide a range of project management and administrative support for the planning and delivery of projects related to the Provincial Subways Program, including the coordination, development, and implementation of information and process improvements.
  • Coordinate responses from S&CE (Strategy and Customer Experience) group to Metrolinx/City requests related to the Provincial Subways Program.
  • You will be required to track and schedule meetings and participation by S&CE staff in Provincial Subways Program work.
  • Liaise with the Major Projects Group/Transit Assurance group, in addition to external stakeholders in relevant divisions in the City of Toronto on S&CE responses and overall TTC responses.
  • Assist in the identification and tracking of risks and issues for S&CE as it relates to the Provincial Subways Program.
  • You will assist in the planning, coordinating and conducting of information sessions, meetings, and other events with S&CE staff and stakeholders
  • Lead weekly progress meetings within the S&CE group, takes and circulates meeting minutes
  • Coordinate and respond to data and information requests to S&CE
  • Prepares materials and assists with research, briefing, and reporting on the Provincial Subways Program within the S&CE group
  • Coordinates the formatting and distribution of communications and project progress updates, and acts as the point of contact to receive feedback and respond to questions related to the projects' status
  • Coordinates logistic requirements with administrative staff in S&CE Provincial Projects Group and project delivery teams on information sessions and common initiatives.
  • Monitors and assesses business processes for the team's deliverables and develops/recommends improvements to project reporting and response tracking, scheduling/management efficiencies and quality
  • Ensures project scheduling and progress are consistent with project plans, budgets and timelines.
  • Prepares project reports, identifies scheduling gaps and issues, and recommends issues management solutions.
  • Participates in the TTC Customer Service Ambassador Program.

What Qualifications Do You Bring?

  • Your educational background including a University Degree in Civil Engineering, Urban Planning, Business Administration or related discipline; or a combination of education, training and experience deemed to be equivalent combined with demonstrated experience providing business and project support is integral and will contribute to the success in this role.
  • Your application will demonstrate knowledge of both theoretical and practical aspects of project management, and associated techniques and tools.
  • Knowledge of administrative and operational practices, processes and procedures to provide administrative, operational and business support services.
  • Analytical and problem-solving skills to review and assess information, coordinate responses and information on project tracking, scheduling gaps and issues, identify trends, and recommend improvements is required.
  • Verbal communication skills and written communication skills to prepare and deliver reports and related program materials.
  • Organizational skills to manage priorities; coordinate the scheduling of multiple projects and meeting deadlines is required.
  • Knowledge of computer applications including spreadsheet, word processing and presentation software to prepare a range of documentation, reports, and communication/training materials is required.
