Duties and Responsibilities:

  • Answer phones on a multi-line system and direct calls appropriately
  • Greet clients and guests as they arrive at the office
  • Prepare the boardroom for meetings and escort guests to their destinations
  • Handle clerical tasks, including filing and maintaining record systems
  • Prepare reports and correspondence
  • Ensure general office maintenance (watering plants, keeping the office tidy, etc.)
  • Provide support to senior managers
  • Format documents and create materials using MS Word and Excel, as well as proofread and edit documents
  • Assist with personal errands as needed (e.g., drop-off/pick-up dry cleaning, lunch, groceries)

Qualifications and Requirements:

  • 1+ years of experience as an Administrative Assistant
  • Valid driver's license
  • Access to a reliable vehicle
  • Quick learner with the ability to adapt to a new industry
  • Calm and professional demeanor in a fast-paced environment
  • Strong interpersonal skills to build rapport with clients and customers
  • Proficiency in Microsoft Office Suite and other software (MS Word, Excel, PowerPoint, Google Docs, Canva, etc.)
  • Comfortable with computers, smartphones, and tablets, and willing to learn new applications
  • Strong research skills with the ability to present data clearly and concisely
  • Capable of working independently with discretion
  • Excellent management, time-management, problem-solving, writing, editing, grammatical, organizational, and research skills
