Position Summary

As a key member of the ETMS team, the Specialist, Audio-Visual & Technology Services supports the delivery of health care to health professionals via video conferencing and other innovative technologies. the primary responsibilities of this job include: leading the specialized technical operations of the ETMS Department in the area of expanded services such as special installation projects, service desk operations, educational video conferencing, computer software/hardware application support; ensuring equipment and staffing meet the needs of the client within UHN as well as outside health and other organizations; assisting with procurement of specialized equipment and technologies; performing maintenance and administration of various phases of the operational projects; managing the day-to-day technology needs of the users at UHN. The responsibilities of this role also include providing technical support for Tele-education events across all University Health Network sites; delivering, setting up, moving, dismantling and storing ETMS equipment and other peripheral devices within the UHN sites; troubleshooting and problem-solving videoconferencing equipment; assisting in the expansion of the ETMS program; performing cross-functional and/or other duties consistent with the job classification, as assigned or as requested.

Duties

  • Audiovisual Technical Responsibilities and Event Administration
  • Coordinates specialized technical services for UHN which is a major portion of the job involving: Coordinating Educational Technology Activities/Events (e.g., Broadcasting, video casting, bridging with various networks);
  • Provides Technical Specialist Expertise
    • Contributes technical expertise to develop innovative technical solutions and applications across multiple UHN sites within the program budget and under minimal guidance
    • Provides education and support for the utilization of audio visual technology tools and devices for various initiatives to the inter-professional teams across UHN sites
    • Researches and assesses audiovisual technology, investigating technology for specific needs of clients including clinicians across UHN;
    • Troubleshoots hardware and software (pre-setting, testing etc.);
    • Identifies new opportunities and provides recommendations on technology enhancements to improve the user experience with telehealth (e.g. streamlining technical support line)
    • Trains staff and volunteers on education technology
  • Conducts event administration
    • Intakes requests and Schedules Education, Administration, Conferencing events in various databases and scheduling systems (Microsoft 365)
    • Creates and manages database for the purpose of tracking and reporting educational audio visual activities,
    • Books rooms and equipment accordingly
    • Coordinates end-user requirements for education, administration, conferencing events including liaises with internal and external clients to determine needs and pricing.
    • Manages invoices, payment and account activity.
    • Utilizes shared UHN resources (data, electrical wiring, maintenance, etc.);
  • Maintains audiovisual equipment and software
    • Coordinates hardware maintenance, audit, servicing and replacement schedules;
    • Performs hardware troubleshooting and diagnostics;
    • Performs software and peripheral device inventory purchasing and licensing;
  • Provides audio visual installation support
    • 3-years' experience installing AV systems.
    • Safely install AV components and hardware (DSP, video matrix and switchers, microphones, speakers, projection systems, displays, etc.)
    • Install structured cabling through raceways, conduits, junction boxes, walls, surfaces, and pathways.
    • Build equipment racks as per equipment specifications; assemble rack walls, shelves, lacer bars, loading and securing electronic equipment in proper placement as per AV standards.
    • Configuration of audio visual control systems and network enabled equipment.
    • Complete AV system design including project bill of materials, system schematic design, flowcharts, block diagrams, reports, commissioning, and technical analysis.
    • Basic networking skills and knowledge of network hardware (LAN, WAN, routers, switches, etc.)
    • Knowledge of programming Extron and/or Crestron control systems is an asset but not required.
  • Procures, delivers, sets ups, moves, dismantles and stores ETMS equipment and other peripheral devices within the UHN sites.
    • Receives, documents and processes requisitions/work orders.
    • Sets-up audiovisual equipment; tests equipment to ensure it is operational.
    • Organizes the ETMS storage areas, including keeping an inventory of all equipment and jack locations throughout UHN sites; preparing a new equipment purchasing list to augment or replace current equipment; keeping abreast of new developments in audio visual equipment and techniques; recommends new initiatives, where appropriate.
    • Provides expert advice regarding the purchasing of hardware and software customized to meet the needs of end users.
    • Participates in hardware and software acquisitions for audio visual or communications technology.
    • Advises on and actively participate in testing, selecting, evaluating and implementing new communication and information technologies.
  • Troubleshoots and problem-solves audio visual equipment in real-time.
    • Answers, triages and responds to technical issues that come through the technical assistance help line and is always available to answer calls within regular office hours.
    • Multi-tasks troubleshooting numerous technical issues with clinicians across UHN sites at any given moment via tech line, in person or over email.
    • Inspects and tests electronic equipment/components utilizing electronic testing instruments and tools.
    • Locates and diagnose faulty equipment, including: circuits, component, etc.; liaises with appropriate repair services, as required.
    • Liaises with hospital IT department in activating and reactivating jacks and updating software
    • Troubleshoots and installs pc based videoconferencing systems including installing cameras and software.
    • Provides minimal equipment repair on-site, whenever possible to avoid the necessity of sending equipment outside the Hospital for repairs.
    • Accesses internal and external resources across UHN, when necessary, to resolve technical problems.
  • Assists in the expansion of the ETMS program and the use of audiovisual technology across UHN.
    • Provides expert advice regarding the acquisition of AV hardware and IT software and any customizations to meet the needs of end users
    • Keeps up to date with audio visual and computer communication/technology trends within the industry and global healthcare environments, and monitors their potential for utilization within UHN.
    • Develops education and training materials for users and various other graphic/video tools for department
    • Contributes in writing abstracts and presentations for national and international conferences
    • Assists in strategic planning for department
    • Establishes close relationships with UHN clinicians and employees to help promote the uptake of telehealth and evaluate the needs of the UHN community.
  • Utilizes Project Management skills
    • Meets project timelines and updates team regularly
    • Oversees projects that utilize new and existing technology as well as the use of technology in improving workflow of both team and UHN clinicians.
    • Collaborates closely with both internal departments and clinicians as well as external partnerships to complete projects
    • Implements results of projects into regular workflow
  • Performs cross-functional and/or other duties consistent with the job classification, as assigned or requested.
    • Develops and maintains department daily event coverage schedule which includes cross checking correct system usage and assigning appropriate staff coverage
  • Works in compliance of the Occupational Health & Safety Act and its regulations, reporting hazards, deficiencies and contravention's of the Act, in a timely manner.

Qualifications

  • Completion of a 3-year community college program in multimedia, or audio and video recording or recognized equivalent required.
  • 3-4 years practical and related experience and/or 2 years on-the-job training required.
  • Strong AV background and skills required.
  • Excellent organizational and time management skills required.
  • Excellent verbal and written communication skills required.
  • Ability to set priorities and meet deadlines required.
  • Experience working in a hospital environment preferred.
