SCOPE OF POSITION

The Payroll Administrator will be supporting the payroll functions for the ConeTec US employees primarily. This person must be an enthusiastic individual with a strong work ethic, excellent communication skills, highly attentive to details.

ROLES, RESPONSIBILITIES & EXPECTATIONS

Payroll

  • Be accountable and support the process of hourly and salary payroll (including prevailing wages) for a high volume and fast-paced environment.
  • Prepare Certified Payroll reports, statements of compliance, and statements of non-performance for weekly submission, including weekly submission to customers.
  • Support the processing of new hires, terminations, rate changes, and other data relating to employee records and payroll processing.
  • Track timesheets & attendance records, overtime, vacation, leave of absence, etc.
  • Support the performance of month-end, quarter-end, and year-end payroll reconciliations.
  • Support the accurate reporting and remittances to the appropriate external agencies.
  • Support to improve the efficiency and effectiveness of payroll processes.
  • Reconcile benefits invoices, promptly identifying and resolving discrepancies to ensure accurate reporting.
  • Support payroll-related audits, such as 401(k), healthcare, and workers' compensation audits, by maintaining and preparing accurate required documentation and reports.
  • Assist with year-end tax reporting for US and Canadian employees (W-2s ).
  • Develop and maintain the payroll manual to provide step-by-step instructions on how to complete payroll and certified payroll tasks in their absence.
  • Ensure compliance with state, federal, and local payroll laws, including tax filings, garnishments, overtime and holiday calculations
  • Other payroll-related duties as assigned.

Accounting / Administration / Other

  • Be accountable and supportive of accounting functions including accounts payable, bank reconciliations, intercompany reconciliations, and meeting month-end close timing, and procedures.
  • Support the Accounting Team with the month-end close and other ad-hoc projects, including review, analysis, and reconciliation of invoices, accounting records, bank accounts and GL balances, and vacation backup support.
  • File payroll, accounting, banking, and corporate documents.
  • Provide support to other company personnel/departments.

SKILLS, QUALIFICATIONS AND EXPERIENCE REQUIRED

Education Requirements

  • High school diploma or equivalent
  • Associate's degree in accounting, business, or related field and/or an equivalent combination of education.
  • Payroll Certifications (CPP/FPC) preferred
  • Excellent knowledge of payroll best practices and legislative policies

Experience Requirements

  • 3-5+ years of payroll administration experience with good accounting skills
  • Maintains knowledge and understanding of rules and laws that govern and affect payroll administration practices.

Technical Requirements

  • Working knowledge of MS Dynamics GP with Payroll module (would be an asset)
  • Knowledge of Microsoft Office Suite (Excel, Word, and Outlook)
  • Excellent working knowledge of payroll systems/software

Soft Skill Requirements

  • Demonstrated ability to exercise tact and discretion in dealing with sensitive and confidential information
  • Excellent verbal and written communication skills
  • Excellent interpersonal and teamwork skills, solid organizational skills, analytical and problem-solving skills are required, with the ability to work independently and take initiative.
